Overview

This Privacy Policy explains how Ken Digitizing (“we”, “us”, “our”) collects, uses, shares, and protects information when you visit kendigitizing.com, request a quote, or place an embroidery digitizing order.

We keep this simple: we collect only what we need to produce your files and run our website, we never sell your data, and we treat the artwork you send us as confidential.

By using our website or services, you agree to the practices described here. This policy should be read together with our Terms & Conditions.

Information we collect

We collect two kinds of information: what you give us directly, and what is collected automatically when you browse the site.

Information you provide

Order details
Your name and email address, plus the requirements you choose — file format, design size, complexity, quantity, turnaround, and any special instructions.
Design files
The artwork, logos, and images you upload so we can digitize them.
Correspondence
Messages, revision requests, and any other information you send us by email or phone.

Information collected automatically

Device and browser data
Browser type, operating system, device type, screen size, and language preference.
Network and location data
Your IP address and the approximate location derived from it (country, region, and city). We do not collect precise GPS location.
Usage data
Pages viewed, the referring website or link that brought you here, and the time and duration of your visit. Each visit is given a randomly generated session identifier.
Worth knowing

We do not collect or store payment card numbers. Card payments are handled entirely by our third-party payment providers on their own systems.

How we use your information

We use the information we collect to:

  • Prepare quotes and produce, check, and deliver your embroidery files
  • Communicate with you about your order, revisions, and support requests
  • Process payments and keep accurate business records
  • Understand how our website is used, so we can improve its speed, content, and layout
  • Detect, prevent, and investigate fraud, abuse, and security incidents
  • Comply with our legal, tax, and accounting obligations

We do not use your design files to train machine-learning or auto-digitizing systems, and we do not use your personal information for automated decision-making that has a legal effect on you.

We may send you marketing emails only where you have asked to receive them. Every marketing email includes an unsubscribe link, and opting out never affects service emails about an order you have placed.

Your design files

The artwork you send us is confidential. It is used solely to produce your order and to provide support afterwards.

  • Uploaded files are stored on secure, access-controlled storage operated by our hosting provider.
  • Access is limited to the members of our team who need it to complete your order.
  • We keep a backup of completed embroidery files so you can request a replacement copy if you lose the original.
  • We never sell, license, or share your artwork with third parties for their own purposes.

We may show anonymised samples of completed work in our portfolio. If you would prefer your design not to be displayed, or you would like your files deleted after delivery, just ask and we will action it.

Cookies and analytics

We use cookies and similar technologies (including browser storage) to keep the site working correctly and to understand how it is used.

Essential
Required for the site to function — for example maintaining your session while you complete an order form, and securing the private admin area.
Analytics
Help us measure traffic and see which pages are useful. We use Google Tag Manager, Google Analytics, and Vercel Analytics, alongside our own basic visit logging.

Most browsers let you block or delete cookies through their settings. Blocking essential cookies may prevent parts of the site — including the order form — from working properly.

We do not currently respond to browser “Do Not Track” signals, as no common standard for handling them has been adopted.

How we share information

We do not sell your personal information. We share it only in these limited situations:

  • Service providers — hosting, file storage, email delivery, analytics, and payment processing partners who process data on our behalf and are bound to keep it confidential.
  • Legal requirements — where we are required to disclose information by law, regulation, or valid legal process.
  • Protection of rights — where disclosure is necessary to investigate fraud or abuse, or to protect the safety, rights, or property of our customers, our team, or the public.
  • Business transfers — if our business is merged, acquired, or reorganised, information may transfer as part of that transaction, subject to this policy.

Data retention

We keep information only for as long as we need it:

  • Order records, including contact details and invoices, are kept for as long as required for support, warranty, tax, and accounting purposes.
  • Uploaded artwork and completed embroidery files are kept as backups so replacement copies can be issued, unless you ask us to delete them.
  • Website visit logs and analytics data are kept in aggregated or limited form for traffic analysis.

When information is no longer needed, we delete it or keep it in a form that no longer identifies you.

Data security

We use appropriate technical and organisational measures to protect your information, including encrypted connections (HTTPS/TLS), access controls on stored files, authentication on our internal admin tools, and unguessable identifiers for order records.

No method of transmission or storage is completely secure. While we work hard to protect your information, we cannot guarantee absolute security. If we become aware of a breach affecting your personal information, we will notify you and any regulator as required by law.

Your rights and choices

Depending on where you live, you may have the right to:

  • Request a copy of the personal information we hold about you
  • Ask us to correct information that is inaccurate or incomplete
  • Ask us to delete your personal information and uploaded files

Our services are intended for businesses and adults. We do not knowingly collect personal information from children under 13 (or the equivalent minimum age in your country). If you believe a child has provided us with personal information, contact us and we will delete it promptly.

We serve customers worldwide. Your information may be processed and stored in the United States or in other countries where our service providers operate, and data-protection laws in those countries may differ from those in your own.
